We are a Whitehorse Yukon based prefab construction company. We build residential projects ranging from custom and spec homes to multi-family town house developments. We have contracts around Yukon in many different communities.
Job Description:
We are seeking a highly motivated and detail-oriented Administrative Assistant to provide administrative and clerical support to our team. The ideal candidate will be highly organized, detail-oriented, and able to work independently, with excellent communication and interpersonal skills. The successful candidate will be responsible for managing our front desk operations, handling phone calls and correspondence, organizing files and records, and performing other administrative duties as assigned. This is a term contract though could become permanent for the right candidate.
Responsibilities:

  • Ensure that office policies and procedures are up-to-date and compliant with relevant laws and regulations.
  • Maintain office supplies and inventory.
  • Perform other administrative duties as assigned
  • Maintain office records and files, ensuring accuracy and confidentiality.
  • Assist in the preparation of reports, presentations, and other documents.
  • Manage and monitor the office calendar, including scheduling of meetings, prepare meeting minutes, appointments, and events.
  • Assisting in recruitment, training, and performance management.
  • Develop and maintain positive relationships with clients, suppliers, and other external stakeholders.
  • Plan and coordinate office events and initiatives, including team-building activities and other employee engagement programs.
  • Monitor and manage office security, including access controls and security systems.
  • Arrange travel schedule and make reservations.
    • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations.

    Qualifications:

    • One year of post-secondary education in administration or a related field, or equivalent work experience
    • Proven work experience as an administrative assistant or office assistant
    • Excellent organizational, communication, and interpersonal skills, with the ability to work independently and as part of a team.
    • Strong problem-solving skills and attention to detail, with the ability to manage multiple tasks and priorities.
    • Proficiency in office management software, such as Microsoft Office and Google Suite.
    • Strong understanding of relevant laws and regulations related to office management, including health and safety regulations.
    • Experience in managing administrative staff, including recruitment, training, and performance management.
    • Ability to adapt to change and problem-solve quickly and effectively.
    • Experience working in a fast-paced, dynamic environment.
    • Valid Class 5 driver’s license
    • Experience with Construction Industry will be an asset.
