Job Summary:
We seek a highly organized and proactive Executive Assistant (NOC 12100) to provide comprehensive administrative support to our executive team. The successful candidate will play a crucial role in managing schedules, coordinating meetings, and handling confidential information, ensuring the smooth operation of the executive office.
Key Responsibilities:

  • Calendar and Meeting Management:
    • Manage and maintain executive schedules, including organizing meetings, appointments, and travel arrangements.
    • Prepare agendas, minutes, and follow-up actions for meetings.
  • Administrative Support:
    • Draft, review, and edit correspondence, reports, and presentations on behalf of the executive team.
    • Handle incoming and outgoing communications, ensuring they are prioritized and addressed appropriately.
  • Event Coordination:
    • Plan and coordinate events, conferences, and business meetings, including booking venues and managing logistics.
  • Confidentiality and Records Management:
    • Maintain and safeguard sensitive and confidential information.
    • Organize and maintain electronic and physical filing systems.
  • Liaison Role:
    • Act as the point of contact between the executive team and internal/external stakeholders.
    • Build and maintain professional relationships with clients, vendors, and partners.
  • Project Assistance:
    • Support special projects by conducting research, preparing reports, and ensuring deadlines are met.
    • Monitor and report on project progress.

Qualifications and Skills:

  • Education and Experience:
    • Bachelor’s degree required (any field of study is acceptable).
    • Demonstrable experience as an Office Administrator or similar role is required.
    • Minimum of 2 years of experience in a role providing executive-level support.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with project management and collaboration tools is an asset.

Employment Details:
