Summary of Position for contractThe Festival Coordinator is a seasonal position to assist the Yukon Plant Guild and their volunteers in the running of the Yukon Plant Festival. The Festival Coordinator oversees the logistics and promotion, as well as the day-of operations and execution of the Yukon Plant Festival. This position is part of the Festival Committee which includes board members and festival volunteers who work together to successfully deliver the Yukon Plant Festival. This position runs from March 1st to August 31st 2026, for a total of 22 weeks, and includes up to 195 hours paid at $35 per hour. The workload will vary from week to week based on the tasks at hand (e.g. more hours will be required in the month leading to the festival), with an average of 9 hours per week.
Principal Tasks and Responsibilities of the Festival Coordinator
Before the event, the Festival Coordinator will:

• Manage logistics of the event, plan the format of activities and organize supplies with the support of board members and volunteers
• Coordinate presenters, key facilitators, vendors, caterer, musicians and venue
• Work with the graphic designer to create a festival program and promotional poster
• Promote the festival: record a PSA, post on social media platforms and contact local media, following the board’s media outreach plan
• Manage website, ticket sales and communication with attendees
• Provide bi-monthly reports to the board
During the event, the Festival Coordinator will:

• Help board members and festival volunteers to set up and take down the event
• Coordinate festival volunteers
• Work with the board members to ensure that activities are delivered on schedule and logistical problems or emergencies are addressed in a timely manner
• Attend the Festival and assist in collecting videos, voice recordings, and/or photos of the event
After the event, the Festival Coordinator will:

• Conduct a survey to gather feedback from all attendees
• Request invoices from presenters, key facilitators, caterer, musicians and venue
• Draft a final report of the event and submit it to the board for approval
Qualifications we seek
-
• A strong communicator, proficient in both oral and written language
• Good organizational and problem-solving skills
• Works with little supervision once instructed and good at taking direction
• Works well as part of a team to support the friendly nature of the festival
• Good working long hours outside, walking and lifting loads up to 30 lbs
• Knowledge of Excel, as well as digital software and applications (online forms, Canva, Facebook and Instagram)
• Has a strong personal interest in botany, herbalism or plants in general
• Understands the organizations’s mandate and can represent the Yukon Plant Guild to the public in a professional manner
• Previous experience in coordination and project management an asset
