our team as an Accounting and Executive Assistant.
Position Overview:
The Accounting and Executive Assistant provides essential support
to the senior management team, performing both executive-level
administrative tasks and accounting functions. You will be
responsible for managing accounts receivable, accounts payable,
payroll processing, month-end financial remittances, and
reconciliations for multiple companies, in addition to supporting
high-level administrative functions. This position offers a great
opportunity to contribute to a dynamic team while gaining valuable
experience in both administration and accounting.
Key Responsibilities:
Executive Administrative
Support:

Provide
executive-level administrative support to senior management
and the board of directors. -
Schedule meetings,
arrange travel, accommodations, and itineraries, and assist in
preparing meeting materials. -
Prepare and edit
correspondence, reports, presentations, and other documents. -
Maintain company
records and files, handle communications, and coordinate
events and meetings. -
Manage office
supplies, equipment, and assist with company advertising and
public communications. -
Handle reception
duties and liaise with internal departments (construction,
property management, etc.) to ensure smooth communication.
Accounting and Financial
Support:

Process accounts
receivable (A/R) and accounts payable (A/P), ensuring timely
invoicing and payments. -
Assist with
payroll processing, including managing timesheets and
calculating deductions. -
Perform month-end
reconciliations and submit remittances for payroll taxes and
other financial obligations. -
Maintain accurate
financial records for multiple companies.
General Administrative Duties:

Collect data from
project sites and assist with HR tasks, including onboarding
and training. -
Support IT with
troubleshooting and coordinate technical support. -
Maintain
confidentiality and handle sensitive information with
discretion. -
Assist in general
office duties, including supply runs, deposits, and light
cleaning. -
Participate in
special projects and perform other tasks as assigned.
Required Qualifications:

Certificate in
Accounting or equivalent experience. -
Minimum of 2 years
of office and accounting-related experience, including A/R,
A/P, payroll, and reconciliations. -
Strong written and
verbal communication skills. -
Proficiency in
Microsoft Office and accounting software (e.g., QuickBooks). -
Strong attention
to detail and the ability to maintain accuracy in financial
data. -
Experience
handling confidential financial information with
professionalism. -
Ability to
multitask, prioritize tasks, and manage time effectively. -
Clean driver’s
abstract and reliable transportation.
Term: 1 Year contract, based on 40 hours a week. June 2025 to June 2026
