POSITION DETAILS:
Administrative Assistant
Wage: $26-$28/hr + MERCS and Benefits and 3 weeks vacation
Contract: Full-time Permanent Salaried Position
Work Schedule: 37.5 hrs/week –Some evening, weekends and events will be required
JOB DESCRIPTION:
This position requires a professional and dynamic individual who excels in high pressure and multitasking situations. We require expertise in human resources, bookkeeping, payroll, CRA and administration. This position requires a firm background in NGO bylaws as well as small business practices. We require individuals to hold post-secondary education in business, accounting or another relevant Degree. The Administrative Assistant is responsible for aiding the Brand and Admin Director in all Administrative Duties for the BGC Yukon. The Administrative Assistant(AA) reports directly to the Brand & Admin Director. The AA is directly responsible to collaborate with the following staff: Bookkeepers, Accountants and any admin related positions (volunteer or paid), CRA reporting and HR.
KEY DUTIES AND RESPONSIBILITIES

  • Responsible for aiding Operations Director in submitting employee time sheets, distributing club orientation manuals and labour standards book, posting weekly memos and minutes of staff meetings
  • Support all Directors with BGCY Payroll
  • Responsible for administrative staff scheduling
  • Supporting all Directors with all BGCY jobs postings and ensuring the completion and filing of all job descriptions
  • Responsible to help with all administrative orientation processes and to assure all paperwork is filled out correctly by new staff members and volunteers
  • Support all Directors in completion of BGCY HR and hiring processes and filing
  • Assist with and maintain up to date filing system for all HR and Administrative document
  • Maintain Archives and rotate filing as required
  • Support the Operations Director in maintenance and execution of operation system of tracking keys and all other sensitive administration tools that staff have been issued and be assured they are signed in and out
  • Support Operations Director in BGCY swag inventory, assure they are ordered and distributed as needed
  • Help maintain and update all BGCY inventory lists, maintain a record of serial numbers of all club equipment for insurance purposes. Submit updates to Executive Director
  • Responsible for aiding in on-call coverage, when required
  • Support Admin Director maintaining and ensuring all club bookkeeping is current and accurate
  • Assist and attend fundraising events when requested
  • Ensuring documentation and properly filed
  • All other duties as requested by the Executive Director and/or Senior Leadership

QUALIFICATIONS

  • Post secondary degree in business, accounting or other relevant field, or demonstrated experience is considered an asset
  • Class 4 Driver’s License
  • Proficient use of Microsoft office applications, understanding of data bases and input, or equivalent
  • Valid CPR C/ Standard First Aid Certificate;
  • Valid Foodsafe Level 1 Certificate (or must be attained within first 3 months of work);
  • RCMP Vulnerable Sector Check
  • WHMIS
