Job Summary:
The HBHF Program Coordinator is responsible for the overall management and delivery of the Healthy Babies, Healthy Futures Program, which supports the health and well-being of pregnant individuals, new parents and infants up to 18 months. The coordinator ensures program objectives are met, operations run smoothly, and the program aligns with the guiding principles. This role includes program delivery, financial management, team leadership, community engagement, applying for funding and reporting to funders.
Main Responsibilities
Program Delivery

    • Deliver the HBHF program using a community development, participant-centered approach that fosters social inclusion and supports participant health and well-being.
    • Plan, coordinate, and oversee prenatal and postnatal drop-in sessions tailored to participant needs.
    • Provide guidance on prenatal and infant nutrition, second-hand smoke reduction, and healthy lifestyle choices.
    • Accept appropriate referrals from health clinics, social services, First Nations, and other agencies.
    • Make referrals to community resources and health services as needed

    Financial Management & Reporting

    • Manage the HBHF program budget, including monitoring expenses and optimizing use of funds.
    • Track and code receipts and maintain accurate financial records.
    • Prepare timely financial and program activity reports for funders, including the Public Health Agency of Canada.
    • Support fundraising and donation solicitation to enhance program offerings.

    Team Leadership & Supervision

    • Recruit, train, and supervise program staff, contractors, and volunteers.
    • Foster a positive, collaborative, and inclusive work environment.
    • Lead and participate in team meetings and CPNP/CAPC Steering Committee meetings.
    • Ensure support worker and volunteer adherence to VFWC policies and procedures.

    Community Engagement & Strategic Planning

    • Maintain and develop community partnerships to support program goals.
    • Initiate and implement strategic projects in collaboration with community partners.
    • Oversee and manage contracted services, such as the CPNP Dietitian.
    • Ensure program operations comply with all relevant regulations, policies, and funder requirements.
    • Maintain program records and documentation for audits and reporting purposes.
    • Perform other duties as required to support the HBHF program.
    • Support a warm and welcoming atmosphere in the Centre, ensuring participants and visitors feel respected and valued.
    • Provide guidance or assistance with Centre activities and special events when required.
    • Occasionally assist with light housekeeping or operational tasks to ensure the smooth running of the Centre during absences of other staff.

    Administrative Duties

    • Ensure program operations comply with all relevant regulations, policies, and funder requirements.
    • Maintain program records and documentation for audits and reporting purposes.
    • Perform other duties as required to support the HBHF program.

    • Support a warm and welcoming atmosphere in the Centre, ensuring participants and visitors feel respected and valued.
    • Provide guidance or assistance with Centre activities and special events when required.

    Knowledge and Skills Required

    1. Post-secondary education in a relevant discipline or an equivalent combination of education and experience.
    2. Experience in program coordination, financial management, and reporting to funders.
    3. Proven leadership skills, including the ability to motivate, coach, and develop staff and volunteers.
    4. Strong organizational and time management abilities, with the capacity to prioritize tasks and meet deadlines.
    5. Excellent problem-solving, facilitation, and communication skills, both oral and written.
    6. Proficiency in Microsoft Office and other relevant software for program management and reporting.
    7. Ability to work independently and collaboratively within a team environment.
    8. Experience working in diverse, cross-cultural, and cross-income settings.
    9. Knowledge of community resources, public health services, and social issues affecting women, infants, and families.
    10. Commitment to confidentiality, ethical practice, and trauma-informed, culturally safe approaches.
    11. Experience working with pregnant individuals, parents, or infants.

    Additional Requirements:

    • Must reside in Canada.
    • Must identify as a woman.
    • Ability to prepare nutritious and appealing meals for program participants (approx. 30 people).
    • Availability to work Monday to Thursday, 9:00 am to 3:00 pm.
    • Valid First Aid certificate.
    • Valid Food Safe certificate.
    • Strong interpersonal and communication skills.
    • Ability to provide emotional and practical support in community and in-home settings.
    • Commitment to trauma-informed, culturally safe, and anti-oppressive practices.
    • Ability to work both independently and as part of a team.
    • Strong organizational skills and reliability.
    • Vulnerable sector check through the RCMP is required for this work.
    • A class five driver’s license is required.
