Operational Assistant

Reporting primarily to the Director of Operations (DO), an Operational Assistant will:
-Help create a friendly, clean and welcoming atmosphere for clients, staff and visitors to the Capital Helicopters office (192 Condor Rd.);-Answer phone calls, take messages and respond to last minute requests and changes; -Provide logistical support (such as scheduling flights and hotel rooms) for company personnel at the request of management staff, as well as track and communicate these bookings. Requests for support may be made on non-scheduled working business days, or after-hours; -Assist the DO with the preparation of client quotes, RFQ, RFT and SOA responses;-Update Capital's automated flight management and training systems (Cirro, Aerostudies) with client and employee information as and when directed;-Assist with preparing permits and filing reports as directed;-Collaborate with the DO and President (ie. taking notes, reviewing bookings and supporting information) to provide a point of logistical continuity over management cross-shift days throughout the course of the 2026 summer season;-Receive and ship items, run miscellaneous errands and purchase supplies;-Shuttle and position vehicles (both within Whitehorse and to various community bases) as needed, with emphasis on the summer operational season; -assist the Ground crew with cleaning, organizing, and logistics -assist the Tour Lead with booking, responding to tour inquiries, and the advertising and marketing of tour flights; -Perform additional duties (particularly those of a time-sensitive nature) as outlined by the DO, Chief Pilot, PRMC and President
This position reports primarily to the Director of Operations, and secondarily to the company President. There is a strong expectation that this employee must work well in a fast-paced environment, be able to track and meet deadlines, have excellent communication skills and be able to work well independently. The ability to be a professional, courteous team player is of utmost importance. Confidentiality must be maintained at all times; signing of a non-disclosure agreement will be conditional upon acceptance of offer. Punctuality on a daily basis is essential.An advanced level of English language proficiency, familiarity with basic computer programs (Word, Excel) and a valid Class 5 drivers license are considered essential for this position. Familiarity with helicopters, trailers, and/or driving company fleet vehicles is considered an asset.
